FairEntry occurs between June 1 and July 6 with the purpose of declaring which projects enrolled in 4honline will actually be entered into the county fair. 

Use www.fairentry.com and log in with your 4honline user name/password.  

It is the responsibility of each  4-H member to see that all exhibits are in place and picked up at the proper time. The  Putnam County Fair and 4-H Club Association does not assume any liability for loss or damage to exhibits.

Exhibits not picked up after the fair by Saturday noon will be left at the fairgrounds unsupervised until they are moved to the Extension office during the week. Some items may be discarded at the fairgrounds if not picked up.

Late Arrivals: When possible, late projects will be judged. An Exhibit Hall project will be awarded the next lower ribbon if it arrives after the specific project judging day and time deadline. If there is an extenuating circumstance that prevents a 4-H’er from making the specific deadline, a phone call to the Extension 4-H Educator (765) 653-8411 is required. After receiving the call, the Educator will determine whether exhibiting the project will be allowed.

4-H Exhibit Hall Projects

 Requirements for all Exhibit Hall Projects:

  1. “Grade” refers to the grade the 4-H’er was in on January 1st of the current year.
  2. All Exhibit Hall exhibits must be entered into FairEntry by midnight, July 6th. This also serves as the“drop/add” deadline for 4-H projects.
  3. Exhibit/Project Labels: ALL exhibits other than live animals must have the FairEntry Putnam County Official Project Label on them to be entered in the County Fair. Labels will be printed by Extension staff and will be available by July 9th at the office. This 2 3/4” by 5 1/2” label is to be placed in the lower right hand corner of posters or attached to each exhibit item. Attach the label to non poster projects with twine/string/ribbon, etc.

     Information printed on the label will be the info that is entered in FairEntry. 4-H’ers in Cake Decorating and Food related projects are to bring the official county project label to the exhibit judging session so it can be attached to the exhibit after judging.

  1.   All posters - except photography salon prints - are to be an overall size of 22” x 28”, exhibited horizontally, backed with material that provides a stiff backing (not plywood) covering the entire poster, have the FairEntry Putnam County official project label displayed correctly, and be covered with clear plastic or other transparent  material.  Exhibits not meeting these criteria will receive a ribbon placing one less than judge’s assessment. Poster materials are available at the Extension office ($4 foam core board and $1 sleeve. Salon Print mat and backing is $9.)
  2.   Acceptable display sizes varies from project to project.   For examples, review the requirements for “Child Development”, “Foods”, and “Shooting Sports” exhibits.  They must be self-supporting to be viewed by the public.
  3.   Exhibits not meeting the specific criteria will receive a ribbon placing one less than judge’s assessment.
  4.   All required information cards are to be 5” x 8” unless otherwise noted with project details.
  5.   All posters, notebooks, and display boards must include a reference list indicating where information was obtained, giving credit to the original author, to complete the 4-H member’s exhibit.  This reference list should/might include web site links, people and professionals interviewed, books, magazines, etc.  It is recommended this reference list be attached to the back of a poster or display board, be the last page of a notebook, or included as part of the display visible to the public.  A judge is not to discredit an exhibit  for the manner in which references are listed.
  6. The 4-H’er can opt to do an interactive demonstration during the county fair instead of entering an exhibit.  However, you must schedule a time with the 4-H Extension educator. 
  7. Review other project specific requirements in each project’s section and “Indiana and Putnam County 4-H Policy/Terms” in front section of this handbook for additional information.
  8. The Putnam County 4-H Council reserves the right to not display any exhibit that  may be deemed inappropriate for the fair-going audience.
  9. The Putnam County 4-H Fair Board and the Purdue Extension Putnam County staff/volunteers are not responsible for  any damage to, loss of, or theft of fair exhibits.
  10. Before entering exhibits in the Indiana State Fair, each qualifying 4-H’er must review the current year’s state fair handbook and make any adjustments needed to meet the requirements. Any recommendations for change in the exhibit made by the county judge can be made prior to entering the exhibit at the state fair.
  11. State Fair (ISF) labels will be placed on State Fair eligible projects prior to project pick-up. Members with exhibits awarded and eligible for ISF will be posted in the York Automotive 4-H Exhibit Hall. These members may pick-up their informational letter on Thursday or Friday and are also eligible to receive an ISF ticket if provided by ISF for each ISF awarded project.
  12. Extension staff may not be able to transport exhibits to the Indiana State Fair.  Please review the ISF informational letter available to members having ISF eligible exhibits at the county fair exhibit between Wednesday of fair week and checkout time. Generally, Extension staff are willing to transport any item that is not large, bulky, perishable, or fragile.
  13. It is the responsibility of each 4-H member to see that all exhibits are in place and picked up at the proper time. See info on page 57 for exhibit judging times and other details.
  14. 4-H exhibits must remain on exhibit at the Putnam County Fair until the established release time unless approved by the Exhibit Hall Superintendent and the 4-H Youth Educator. For any exhibit removed from display prior to the official release time, placing and prizes (ribbons, medals, trophies, etc.) will be forfeited. The current year Achievement Program recognition for that project will be forfeited.
  15. Unworthy exhibits will not be awarded a blue ribbon or higher regardless of competition. Non-livestock exhibits will receive blue, red, or white placing based on each project’s merit. Champion, Reserve Champion, Grand Champion and Reserve Grand Champion ribbons may be awarded. At the time that the project is judged in an open judging process at the county fair, 4-H’ers will be given their blue, red, or white ribbon. A sticker will be placed on the project indicating this award. Exhibitors receiving honor recognition, which indicates they were considered for champion, will have an honor sticker or ribbon placed on their project. ONLY Champion, Reserve Champion, Grand Champion and Reserve Grand Champion ribbons will be displayed with the project.
  16. All Exhibit Hall exhibits will be released on Friday, July 24th from 6:00 pm - 9 pm and Saturday, July 25th from 9:00 am – 11:00 am.

Not all champion exhibits go to the Indiana State Fair. Projects that are State Fair eligible must have applicable information, skill sheets etc. attached to the project prior to project release.
